Financing Administration Manager

  • Location Nairobi

Key Responsibilities:

  • Ensure that the facility approval conditions are complied with before disbursement.
  • Oversee the preparation of the Letters of Offer (LOO) and ensure that facilities are properly maintained in the system and all parameters are reflected as per offer letter in terms of rate, amount and tenor, collateral, insurance, and subsequent renewals, monitor and track all requirements in the system.
  • Ensure all required documents are availed and all conditions to cover the Bank’s risks fulfilled as per the LOO.
  • Manage the facility disbursement and ensure collection of documentation fee, restructure fee, lost income (if any) and correct data set up into the system.
  • Make facility authorizations and approvals in the system in line with approved facility limits and ensure that the booking is as per conditions/terms availed and accurate date thereof maintained in the system.
  • Manage the generation and submission of financing reports for administrative, financial, and regulatory reporting.
  • Overall, in charge of the Financing Administration Team and is also responsible for ensuring all activities of the business unit are carried out in compliance with Shariah requirements, and all relevant policies, rules and CBK regulations.
  • Responsible for the amendment of the various parameters periodically as reflected in the letters of the offer with the clients. This entails rate change and any other agreed and approved requirements.
  • Maintain an up-to-date diary system on-line for disbursements and prepare reports on delays and or defaults to guide management action: e.g. and not limited to Facility overdue reports, default/damages/delayed facilities report, pricing reviews, settlements by due dates, facilities expiring within the quarter.
  • In-charge of Securities Management and to work with Legal Department to ensure registration of collateral (mortgage) complied with regulatory and bank’s policy, safely keep all legal documents under dual control system, and monitor expiry date of collateral/guarantee.
  • Ensure timely reconciliation of financing suspense accounts in view of minimizing financing risk.
  • Ensure facility approval conditions are stated in customer offer letters and bank’s interest covered.
  • Covenant tracking and continually updating management on market trends and dynamics regarding.
  • Update both internal and external policy governing Financing Administration activities and establish proper communication among Financing Administration staff and all relevant support units.
  • Assist the Head of Financing and Management in executing other duties that will be assigned from time to time.

Qualifications:

  • Hold a bachelor’s degree in business, or finance related field. Master’s degree an added advantage.
  • Professional Training on Financing (Credit) Management and any professional Banking qualifications.
  • Have a minimum of Five (5) years relevant work experience with proven result-oriented track record.
  • A proven record of successfully managing financing/credit administration.

  • A thorough understanding of the Bank’s financing policy and CBK prudential guidelines.
  • Interpersonal skills to effectively communicate with and manage expectations of customers and other stake holders.
  • Analytical skills, understanding and interpretation of facilities as structured and options available in the process of structuring plans for turning around non-performing facilities.
  • Knowledge and effective application of all relevant banking policies, processes, procedures, and guidance to consistently achieve required compliance standards or benchmarks.
  • Planning and organizing skills for effective planning and execution of tasks and deliverables within timeframes and budget.
  • Excellent written and oral communication skills for effective relationships with different stakeholders.
  • Quality orientation to ensure consistency in adhering and uphold performance standards for Service Level.
  • Agreements and quality of documentation.
  • Self-empowerment to enable development of open communication, teamwork and trust that are needed to support performance and customer-service oriented culture.

Remuneration

A package commensurate to the posts shall be discussed and agreed with the successful candidates.
